Recordkeeping - Attendance and Gradebook

Census
The date for Census is one quarter of the way through the semester, and instructions for accessing rosters for Census review are emailed to faculty. The corrected enrollment figures established at Census are audited annually; therefore, their accuracy is critical.

Class Rosters/Gradebook
Instructors will be able to view class rosters in J1 Web. Faculty have real-time access and can print class rosters from J1 Web. Grades are required to be kept up to date in the Canvas gradebook. This allows students to easily access their current grade.

Use the following instructions to ensure that all required information is submitted. Contact your site director or Amy See, MACC Registrar (amys@macc.edu, 660-263-4100 ext. 11277), for assistance.

Step 1 Attendance:
All faculty should maintain accurate and up-to-date attendance records in Canvas.

For all F grades, verify the student's Last Date of Attendance (LDA): Last Day of Attendance (LDA) for grades of F entered in J1 Web must match the attendance rosters in Canvas or the date of submission within a course resource outside of Canvas. Please double-check these before submitting the grades. It is critical that these dates are correct, as they are used to calculate a student's financial aid award. Incorrect records may result in the College being required to return money to the federal government.

Faculty teaching courses that use course resources such as MyMathLab, SAM, etc. are required to submit proof of LDA, if that proof is not in the Canvas area of the course (i.e., the LDA was determined by work performed in these course resources). Acceptable proof of LDA includes a screenshot of the work in that course resource. Please email the screenshot or correspondence to safile@macc.edu and include your ID, student name, and course in the subject line so we have electronic records.

Step 2 Gradebook in Canvas:
You must add Final Letter Grades in Canvas, using one of the following options. The Final Letter Grades in

Canvas (Total/Override column or your Final Grade column) must match the final letter grades that you enter in J1.

Option 1 - Add ‘Final Letter Grade’ column:

  1. In each course, go to the assignments item and add an assignment by clicking on the red +Assignment button.

  2. Name the assignment "Final Letter Grade."

  3. In the "Display Grade As" option, choose Letter Grade.

  4. Save and Publish.

  5. Return to the grade book and add the final letter grade for each student.

Option 2 - Automatically assign letter grades in the ‘Total’ column:

  1. In the Course Navigation pane, click Settings.

  2. In the Course Details tab, scroll down to Grading Scheme: Enable course grading scheme and check the box.

  3. Select the appropriate grading scheme from the drop-down menu (typically MACC General).

  4. Click the Update Course Details button.

When using Option 2, you can Enable Final Grade Override for rounding grades up to manually adjust letter grade(s) as needed. The Final Grade Override allows you to enter a final grade for student(s) that are different from the grade automatically calculated by Canvas in the Gradebook. The student will see the grade override as their final grade in the course. However, students will not know if the score has been overridden.

  1. In the Course Navigation pane, click Settings.

  2. Select the Feature Options tab.

  3. Scroll down to >Final Grade Override and click on the red "X" icon and change to the green check mark to enable the feature.

  4. Return to the grade book, and enter the adjusted final letter grade in the ‘Override’ column.

Step 3 Grade Entry in J1 Web:
Login to J1 Web using your MACC login and password. This link is also available in the Employee tab of myMACC.

Hover over the waffle menu in the top left corner (black and white nine square box). Select the Student hub, select Faculty, select Manage My Course List.

Find the course you are working with from the Couse List. Use the Actions dropdown button to select Manage Grades. Once all grades have been entered, click the save button (floppy disk icon) at the top left. After saving, remember to enter LDAs for any students with grade of F. The Last Date of Attendance column is not editable until grades have been saved. You must enter an individual grade for each student, and each grade needs to match what is recorded in your Canvas grade book.

Double-check that attendance records are complete in Canvas and that LDAs match.
